This function allows you to maintain departments and sub-departments, create transaction entries and reports by departments.
To access Department, click on Master Data icon > Department.
Creating a new Department
To create a new Department, click on “+New” button.
Fields
Department No.: Key in Department No.
Parent Department: Choose a parent department if this dept (is a sub-department) is placed under another department, else leave it blank.
Description: Key in Department description. Example Accounting.
Alternate Description: Key in Department other description.
Click “Save” to commit the changes once you had done keying in or editing the required information.
To create a new Sub-department, click on “+New” button. Fill in other columns and select Parent Department from the drop down list.
You can also click on the arrow down button > New Sub-Department button on the Department you wish to add sub-department.
Click “Save” to commit the changes once you had done keying in or editing the required information.
Note: A Parent department that carries Sub-departments must not have transaction entries. All entries must be assigned to sub-departments which can be summarised to its parent department in reports.
You may further create sub-department under a sub-department and this can go on to as many levels as you wish.
Department in Transaction / Billing
Department field is made available in all types of transaction. You may select Department No from the drop down list as maintained in Department.

Report Filtered by Department
For financial reports, you can filter by department in Profit & Loss Statement, Ledger Report (only for Profit & Loss Account types) and Journal of Transaction (only for Profit & Loss Account types).
