This guide provides step-by-step instructions for maintaining certain settings using the Excel Import feature.



The Excel Import feature allows users to import various types of employee related data into the system using Excel spreadsheets.


To use excel import option, go to Tools > Excel Import:




System provides a pre-defined excel template for each type of data.


There are three main data categories:  

1. Employee Maintenance

  • Employee
  • Employee Express

2. Payroll

  • YTD PRTrans
  • Previous PRTrans
  • Adhoc

3. General Maintenance

  • Branch

  • Project

  • Department

  • Levy

  • Claim Type

  • Leave Type

  • Employee Type

  • Entitlement Group

  • Allowance

  • Deduction

  • EPF

  • CF Leave

  • Leave Transaction

  • Attendance Transaction

  • CF Claim



Example : Employee template import


Click on the Employee.




The excel file Employee_EmployeeBank will be downloaded.




Open the file and fill in the required data.


The template structure: 


Row 1: Field specification. This describes the type of data required.




Row 2: Field name. This displays the field name that will be mapped to the system.




Row 3 and onwards: Data entry. Start entering your employee data from this row.




Column guidelines example:


i. Code: This to key the employee code

  • Manually enter the employee code which is maximum 20 characters.
  • To auto-generate, enter 'NEW' and it will generate based on company profile format.




ii. Marital Status

  • Drop-down selection is provided
  • Only selectable values are allowed




iii. IC Number

  • Must be entered manually
  • Do not include hypens (-)




iv. Passport Expiry Date

  • Date format must be dd/MM/yyyy
  • Example 31 January 2026, key as 31/01/2026.




Field color indicator:


i. Red column is mandatory and cannot be left blank.




ii. Green column is optional and can be left blank.




Once excel file is completed and ready to upload, go to Tools > Excel Import > 2. Upload section.




To upload the excel file, can click either:


i. Select file

ii. Drop your files here




You can view the uploaded file.




Then click on Upload.




You can view the Data Status as New.




Finally, click on Import All.




The status bar will show at the bottom page.




Once completed, system will prompt Data Import Successfully together with the number of success and failed import.
